Terms, Conditions & Participant Waiver

Event: Snape Institute 10K and 5K Fun Run 
Location: Snape Institute and surrounding area, North Yorkshire 
Date: Saturday 19th September 2026

1. Event Overview

1.1 This is a community fun run organised by Snape Institute, open to runners of all abilities. 

1.2 Participants take part at their own risk. 

1.3 Routes may include rural roads, paths, and uneven terrain and may remain open to the public. Routes may be wet and muddy depending on recent weather.

2. Entry Fees

  • Adults (16+): £15 
  • Children (under 16): £7.50 

2.1 Entries must be paid in full at registration. 

2.2 All under-16s must have parental/guardian consent.

3. Age Requirements

  • 5km: Open to all ages (under 11 must be accompanied by an adult). 
  • 10km: Minimum age 15 on event day. 

4. Health & Fitness

4.1 Participants confirm they are medically fit and able to take part. 

4.2 You should not participate if advised otherwise by a medical professional. 

4.3 Training and preparation are the responsibility of the participant.

5. Safety & Conduct

5.1 All participants must follow instructions from marshals and organisers. 

5.2 Runners must take care on roads and shared spaces. 

5.3 Headphones are discouraged unless they allow full awareness of surroundings. 

5.4 Unsafe or abusive behaviour may result in removal without refund.

6. Event Changes or Cancellation

6.1 The organisers reserve the right to alter arrangements (route, timings, distances) if required for safety or practical reasons. 

6.2 The event may be postponed or cancelled due to extreme weather or circumstances beyond control.

7. Refunds, Transfers & Deferrals

7.1 General Policy

7.1.1 Entry fees are used to cover upfront event costs. Therefore, entries are non-refundable by default.

7.2 Participant Cancellation

  • 14 days or more before race date:
    • 50% refund or
    • Free transfer to another runner 
  • Less than 14 days before race date:
    • No refunds 
    • Transfers allowed until one calendar week of race date

7.3 Transfers

7.3.1 Entries may be transferred to another participant free of charge before the deadline. 

7.3.2 The original entrant is responsible for updating details accurately.

7.4 Event Cancellation

7.4.1 If the event is cancelled or postponed, participants will be offered: 

  • Transfer to a rescheduled date, or 
  • 100% credit for a future event 

7.5 Deferrals

7.5.1 Deferrals (e.g. due to injury) may be offered at organiser discretion as event credit rather than refunds.

7.6 No-Shows

7.6.1 Participants who do not attend will not receive a refund, transfer, or deferral.

8. Liability Disclaimer

8.1 Participants take part entirely at their own risk. 

8.2 Snape Institute, organisers, volunteers, sponsors and land owners accept no liability for:

  • Injury (except where caused by negligence) 
  • Loss or damage to personal property 

9. Photography & Media

9.1 The event may be photographed or filmed. 

9.2 By entering, participants consent to images being used for promotional purposes.

10. Data Protection

10.1 Personal data will be used only for event administration. 

10.2 Data will not be shared except where necessary (e.g. emergency services).

11. Race Numbers

11.1 Numbers must be worn and visible at all times. 

11.2 Entrants are responsible for ensuring all emergency information is completed on the back of their race number bib.

11.3 3Unauthorised transfers may invalidate the entry.

12. Environmental Responsibility

12.1 Participants must respect the local environment and dispose of litter responsibly.

13. Participant Waiver (Mandatory Agreement)

13.1 By entering the Snape Institute Fun Run and completing the declaration section of the entry form, I confirm that:

  • (If entering a child) I confirm I am the parent/guardian and give permission for them to participate with an accompanying adult.
  • I have read and understood these Terms & Conditions. 
  • I am fit, healthy, and able to take part in this event. 
  • I accept that participation involves inherent risks, including injury. 
  • I agree to follow all safety instructions from organisers and marshals. 
  • I understand that I participate entirely at my own risk. 
  • I release Snape Institute, its organisers, volunteers, sponsors and land owners from liability for any injury, loss, or damage sustained during the event, except where caused by negligence.
